Why double bookings still happen with calendar sync — and 7 ways to prevent them
You connected your calendars, and still two guests booked the same night. That's frustrating, but it's rarely a broken setup — it's how calendar links work everywhere.
Where the gap comes from
Calendar sync by link is a polling system. Each booking site publishes its bookings in a link, and every other site reads that link on its own schedule: Airbnb roughly every 3 hours, Booking.com roughly every 2 hours, Vrbo about once a day. Between a booking on one site and the next read on another, that night still looks free on the other site.
Most of the time nobody books the same night inside that window. The risk goes up with last-minute and same-day bookings, busy dates (festivals, long weekends, New Year) and more sites.
7 ways to keep double bookings rare
- Ask for advance notice. On each site, require at least one day's notice before check-in. Same-day bookings are where the sync gap hurts most.
- Close the busiest nights yourself. On a peak date with only one night left, close it on the other sites the moment it sells — or keep it on your best-performing site only.
- Use one calendar in the middle. Linking every site to every other site multiplies links and failure points. A channel manager gives each site one link that contains all the other sites' bookings.
- Avoid echo loops. If site A imports B and B imports A's copy of B, cancelled nights can bounce back and stay closed. Each site should receive everything except its own bookings — that's how Axorooms builds its links.
- Put walk-in and phone bookings in the same calendar. A guest who books on WhatsApp is invisible to every site unless you add them somewhere that feeds all your links.
- Add turnover nights if you need cleaning time. Blocking a night after each check-out on every site prevents back-to-back arrivals you can't prepare for.
- Watch for broken links. Sites sometimes switch old calendar links off without warning. Check your connected calendars regularly, or use a tool that alerts you when a link stops working.
If it happens anyway
Act quickly and keep it simple: decide which booking to keep (usually the earlier one), contact the other guest straight away with alternatives if you can, and cancel on that site following its own policy. Note that a channel manager can't cancel bookings on Airbnb or Booking.com for you — the cancellation always happens on the site itself.
Axorooms spots overlaps as soon as both bookings arrive, shows them side by side, and lets you choose which stay to keep — so you find out in minutes, not when the second guest knocks.
